Award Ceremony
Planning Tips

Make the most of your recognition moment with these tips:

  1. Order early — Give yourself at least 4 weeks for production and shipping. Last-minute scrambles lead to compromises.
  2. Personalize every award — Awards with the recipient’s name and specific achievement resonate far more than generic trophies.
  3. Get the branding right — Use consistent logos, fonts, and colors across all awards for a cohesive, professional presentation.
  4. Consider presentation packaging — A velvet-lined box or branded bag elevates the unboxing experience.
  5. Take photos — Award moments make great content for internal newsletters, social media, and recruiting materials.

WHAT PEOPLE SAY

What a full recognition programme costs

The per-piece prices above are the easy part. The question most people are actually trying to answer is what the year costs once every tier is covered, and that is worth working out before choosing a design.

Two worked annual recognition budgets
ProgrammeAwardsApproximate cost
120-person company, annual40 acrylic plaque awards at $9 for quarterly team recognition, 12 wood plaques at $13 for service milestones, 4 layered acrylic at $25 for sales achievementAround $616
Annual conference, 300 attendees300 medallions at $3 for attendees, 10 acrylic plaques at $9 for session awards, 2 fully custom trophies at $89 for the headline presentationsAround $1,168

Two things usually surprise people about those numbers. The first is how much of the total sits in the highest-volume, lowest-cost tier rather than in the showpiece awards. The second is that the fully custom executive pieces — the ones that get photographed and remembered — are rarely what moves the budget.

Setting a programme up to repeat

Corporate recognition almost always recurs, quarterly or annually, and that changes how it is worth setting up the first time. Approving artwork once and reordering against it takes the design and proofing step out of every subsequent round, and keeps the awards visually consistent from one year to the next — which is most of what makes a programme read as established rather than assembled at short notice.

It also means the first order does not have to be the big one. With no minimum, a programme can start with a single executive piece, prove the design, and scale to a company-wide rollout against the same approved artwork.

What to put on a corporate award

The wording is the part people leave until last and then rewrite four times, usually because they are trying to make one line of text do three different jobs. It is easier when the elements are separated out. A corporate award generally carries four:

  1. The award's name. What the thing is: Employee of the Year, President's Club, 25 Years of Service, Safety Excellence Award. Keep it the same every cycle — an award whose name changes annually never accumulates any weight.
  2. The recipient's name. Exactly as they use it, which is not always exactly as payroll has it. Worth checking rather than assuming, particularly for anything going into a lobby cabinet.
  3. The reason, where there is a specific one. A quota figure, a project name, a safety record, a length of service. This is the line that turns a generic trophy into evidence that somebody paid attention.
  4. The date and the company. Usually a year rather than a full date, plus the company name or logo.

Three things are worth avoiding. Internal abbreviations and team codes date badly and mean nothing to anyone outside the company, including the recipient's family, who are often the people the award is really shown to. Job titles change, so an award naming a title can read oddly within a year, whereas an award naming an achievement does not. And superlatives applied to a whole class of people — best anything, where several people were plausibly in contention — invite comparison in a way that a named achievement does not.

For service milestones there is a useful shortcut: keep the wording identical across every tier and let only the number change. A wall of anniversary awards that follows one format reads as a programme; a wall where each year was worded from scratch reads as a series of one-offs.

Choosing a material by where the award will end up

The most common mismatch is not a mistake about quality, it is a mistake about setting. An award is chosen on a desk in a meeting and then lives somewhere quite different for a decade.

  • A desk or a shelf at home. Something that stands on its own and is not so large it has to be put away. This is where most employee recognition ends up, and the piece being handled regularly is an argument for acrylic, where the print sits behind the face rather than on it.
  • A wall. Plaques, and the decision worth making early is whether a run has to hang together visually — a service-award wall that accumulates over years wants one format held constant, not whatever was current each year.
  • A lobby or a cabinet. Where the audience is visitors rather than the recipient, physical presence does more work: layered construction and dimensional elements read from across a room in a way a flat plaque does not.
  • Handed out en masse at an event. Weight and packability start to matter more than presence, because several hundred of them have to travel and be distributed in an afternoon.

Who actually signs off a recognition order

Recognition rarely has one owner. HR sets the criteria, finance owns the budget line, a manager knows who is actually being recognised, and marketing cares whether the piece carries the brand properly. That is four approvals for one order, and it is the main reason recognition programmes slip past the date they were meant to land on.

Two things make it go faster. Name one approver for artwork before anything is designed — not a committee, one person who can say yes to a proof. And settle the wording of each award category in writing first, because "Employee of the Year" and "Excellence Award" mean different things to different departments and the disagreement usually surfaces on the proof rather than before it.

Sizing a programme to the organisation

Quantity follows the shape of the programme, not headcount alone. A useful way to plan it is three tiers.

  • Reach. Everyone the programme is meant to touch — service anniversaries, safety milestones, team completions. Medallions and printed acrylic start at $3 and scale to a whole workforce without the budget becoming the constraint.
  • Recognition. The named awards handed out at a meeting or an annual event. A coordinated acrylic or wood plaque family works here, with only the category name and recipient changing.
  • Signature. Retirement, founder, top-performer and executive presentations. Fully custom builds run to $89 and are worth the design attention because they are photographed and kept.

Ordering the tiers together rather than separately is what keeps a programme looking like one programme, and it means the artwork is set up once.

Keeping a programme consistent year to year

The most common failure in corporate recognition is not a bad award. It is year three looking nothing like year one, because the person who ran it left and nobody kept the files. A recipient noticing that their award does not match the one on the shelf next to it undoes the point of the exercise.

  • Hold one source document with the award names, the exact wording, the logo files and the approver. It survives staff changes; memory does not.
  • Reorder against the original job rather than re-describing it. The setup already exists, so a repeat run matches rather than approximates.
  • Order a small contingency. Someone is always missed, joins late, or has their name spelled wrong. A few spare blanks in the same batch cost far less than a separate second order.

There is no minimum order, so a single replacement plaque in year two is a normal request rather than a problem. If the recognition extends past employees to members, volunteers or a club, year-round club recognition ideas covers the same thinking for organisations.

FREQUENTLY ASKED QUESTIONS

Can I add our company branding to the awards?

Yes — that’s what we do best. We reproduce your company logo, brand colors, and messaging with high-resolution UV printing or precision laser engraving. Send us your logo files (AI, EPS, PNG, or high-res PDF) and we’ll incorporate them into a custom proof for your approval.

What’s the minimum order quantity?

There is no minimum. We produce single-piece orders with the same care and quality as large bulk runs. Whether you need one retirement award or 500 conference giveaways, we’ve got you covered.

Do you offer bulk discounts?

Yes. Orders of 25+ pieces qualify for volume pricing, and larger orders receive progressively better rates. Contact us with your quantities and we’ll provide a detailed quote with bulk savings.

Can I reorder the same design for future events?

Absolutely. We keep your approved designs on file so reordering is fast and easy. Just let us know the new names, dates, or text updates and we’ll produce your next batch with minimal turnaround.

What’s the turnaround time for corporate awards?

Standard production is 2–3 weeks from proof approval. Rush orders can be completed in as few as 5–7 business days. For large events, we recommend starting the design process 6–8 weeks in advance to allow time for revisions and shipping.

Two recognition programmes this page does not cover

Recognising a remote or hybrid team covers what changes when the award arrives in a box rather than being handed over — designing for a desk instead of a stage, putting the citation on the piece because nobody will read it aloud, and shipping to home addresses without the logistics derailing it.

Safety milestone awards covers recognising an incident-free record: why crew-wide beats individual, what belongs on a piece that hangs in a workshop for years, and how to run it as a ladder rather than a series of one-offs.
