Sponsor Thank-You Letters: Samples and What to Say

A sponsor thank-you letter does two jobs. It thanks a business for its support, and it gives the person who approved that support something to show their own boss. The second job is the one that decides whether they sponsor you again.

Below are three complete letters to adapt, short versions for email and social media, and notes on timing and what to enclose. Where a letter needs a figure only you have, it shows a blank such as (number). Fill those in with your real results; never estimate.

What a sponsor wants to read

Sponsors receive a lot of letters that say “thank you for your generous support.” The ones they keep tell them what the support did.

  • What their support made possible. In concrete terms: the equipment bought, the entries covered, the field rented, the families served.
  • Where their name appeared. The banner, the shirts, the program, the announcements, the awards. This is what they were promised, so confirm it was delivered.
  • Who saw it. Attendance, entries or reach, using your own real numbers.
  • A person’s name at both ends. Address it to the individual who said yes, and sign it from an individual on your side.

Leave out anything that reads like a second request. The thank-you and the renewal conversation are separate letters.

When to send it and who signs

Send the letter soon after the event or at the end of the season, while people still remember the day. Sign it from the most senior person the sponsor has dealt with, such as the event director, the club president or the head coach. If a player, a participant or a family can add a handwritten line, include it; it is often the part that gets pinned to the wall.

Your treasurer or accountant handles any receipts or acknowledgment paperwork. Keep that separate from the thank-you letter.

Sample letter: event sponsor

Dear Elena,

On behalf of everyone at the Riverside Community Fun Run, thank you for (sponsor name)’s support as our presenting sponsor this year.

Because of your sponsorship, we were able to cover the course permits and timing, which meant every entry fee went directly to the youth programs the run supports. This year (number) runners took part, and your name was on the start arch, the race shirts and every finisher’s bib.

Several participants told us they shop with you because you support events like this one. We made sure they knew who made the day possible.

I have enclosed a few photographs from the morning and a small token of our thanks. It was a pleasure working with you, and we are grateful to have (sponsor name) as part of this event.

Sample letter: team or season sponsor

Dear Wei,

The season is over, and I wanted to tell you what your sponsorship of the Northside Youth Basketball program meant to our players.

Your support paid for new uniforms for all (number) players and covered gym rental for the season, which kept registration affordable for every family. Your logo was on the jerseys at every game and on the banner in the gym.

The team finished the season with a record they are proud of, and more importantly, every child who wanted to play was able to. That is because of sponsors like you.

The players signed the enclosed team photograph for you. Thank you for believing in them.

Sample letter: in-kind sponsor

In-kind sponsors give goods or services rather than money, and their thank-you should name exactly what they gave and how it was used.

Dear Alex,

Thank you for donating the sound system and your time to run it at this year’s Harvest Festival.

Every announcement, every band and the awards presentation were heard clearly across the whole park, which has never been true before. We thanked your business from the stage three times during the day, and your banner hung beside it throughout.

What you provided is something we could not have arranged on our own, and it changed how the whole event felt. Thank you for being so generous with your equipment and your Saturday.

Short versions: email and social media

An email can go out the same evening, ahead of the formal letter.

Subject: Thank you from the Fun Run. Dear Elena, a quick note tonight to say thank you. The run went beautifully, (number) runners crossed the line under your banner, and we could not have done it without (sponsor name). A proper letter and photographs will follow. With thanks, Jordan.

A public post should tag the sponsor, name what they made possible and include a photograph that shows their name where you can.

  • Thank you to (sponsor name), presenting sponsor of this year’s Fun Run. Every finisher’s shirt carried your name, and every entry fee went to youth programs because of you.
  • New uniforms, a full season and a lot of happy players. Thank you to our season sponsor for making it possible.
  • The sound was perfect all day. Thank you to our in-kind sponsor for the equipment and the expertise.
  • To every sponsor of this year’s tournament: your support is the reason we could run it. Thank you.

What to enclose

  • Photographs that show their name in use: the banner, the shirts, the awards table.
  • A signed item from the people they supported, such as a team photograph or a card.
  • The printed program or a clipping, if their name appears in it.
  • A short summary of results: entries, attendance, funds raised. Real figures only.

Do not enclose next year’s sponsorship form. Send that later, on its own, once the thank-you has had time to land.

Where a plaque fits

A letter is read once and filed. A plaque hangs in the sponsor’s lobby or shop, where their customers see it for years, telling them the business supports the community. For a presenting or long-standing sponsor, that lasting display is a real part of what they receive in return.

Mistakes to avoid

  • Getting the business name wrong. Use the name exactly as it appears on their sign or their logo, and check it twice.
  • Thanking “our sponsors” in one letter to all. Each sponsor should receive a letter that names them and what they gave.
  • Vague results. “A great success” tells them nothing. Give the real numbers you have, or describe what happened.
  • Waiting too long. A letter that arrives months later reads as an afterthought.
